Recommended use of SmarterMailSync

This article will talk about Calendars, however, you can use SmarterMailSync to synchronize Contacts, or Tasks, as well.

SmarterMail Sync can be used to synchronize a calendar from within SmarterMail to your Outlook. This can be done two different ways.

1) You enter the account information for the mailbox that contains the calendar that you want to Sync. This would be a 'Direct' Sync.

2) You enter your own account that has a "Full-Control" Mapped Calendar. This is considered a 'Shared' Sync.

Both of these scenarios should work fine.

However, make sure that the 'Shared' Sync is NOT synchronizing with your Primary Calendar in Outlook. Also, if you create an appointment where you are inviting individuals that are also utilizing SmarterMail Sync do not send them invitation emails.

The reason is because when they click "Accept" it will write these emails to their Personal Calendar within Outlook. So, they will have a duplicate appointment in their Shared Calendar, as well as their Personal Calendar. Now, if they are synchronizing the Shared Calendar to their Personal Calendar within Outlook, they will end up having more than 1 copy of the appointment in the shared calendar within SmarterMail.

Our recommendation is that since everybody already has the shared calendar in their Outlook because of SmarterMail Sync, they do not need to receive the invitation emails, because the appointment already exists in their Outlook. Also, separating the two calendars, will potentially prevent duplicate calendar items from being created in the Shared Calendar.
